Kyoai Gakuen Educational Corporation (including the headquarters office and all affiliated schools; hereinafter referred to as "the school") acquires and holds personal information of many infants, children, pupils, and parents through educational activities based on the philosophy of "mutual love = symbiosis." Therefore, the school declares the following personal information protection policy, and will fulfill its responsibilities as an educational corporation by striving to appropriately manage and use personal information while taking into consideration its usefulness.

1. Basic policy

  1. Our school will comply with the Act on the Protection of Personal Information (Act No. 57 of 15), legal guidelines regarding the protection of personal information, and other regulations.
  2. The collection, use, entrustment, provision, etc. of personal information necessary for business operations will be carried out in accordance with the compliance program (management system for legal compliance) formulated by the school based on laws, regulations, and other norms.
  3. In order to ensure the safety and accuracy of personal information held by the school, the school will systematically implement measures to prevent unauthorized access to personal information, as well as the loss, destruction, falsification, and leakage of personal information.
  4. The school respects the rights of individuals regarding their personal information, and handles disclosure and correction of personal information by the individual in question in accordance with appropriate rules based on laws, regulations, and other norms.
  5. The school will systematically provide training to faculty and staff on the protection of personal information.
  6. This personal information protection policy will be posted on the school's general website and made available for viewing.

*The compliance program for personal information protection is a management system that includes policies, organization, planning, implementation, audits, and reviews to protect personal information held by the University.

2. Compliance Program

The school will establish a management system for protecting personal information held by the school, including policies, organization, planning, implementation, audits, and reviews, as a compliance program for personal information.

3. Handling, acquisition, use and provision of personal information

When handling personal information held by the school, or when acquiring or using personal information, the school will specify the purpose of use and either publicly announce or clearly state it in advance, or notify or publicly announce the individual at the time of acquisition, and limit the scope of use to the extent necessary to achieve the purpose.In addition, when providing personal information held by the school to a third party, unless otherwise specified by law, the school will handle the information appropriately in accordance with the law, such as by obtaining the individual's consent or publicly announcing this in advance.
Furthermore, when outsourcing the processing of personal information, we select either a Privacy Mark certified business or a business recognized to have an equivalent level of personal information protection. Furthermore, when outsourcing, we stipulate matters regarding the handling of personal information in a contract or other document, and provide necessary and appropriate supervision regarding the safe management of personal information.

4. Requests for disclosure, correction, suspension of use, etc.

If the school receives a request from an individual to disclose, correct, or suspend use of personal information held by the school, the school will respond appropriately and promptly in accordance with the law.

5. Purpose of Use of Personal Information

Except for those stipulated by law and those publicly announced or notified to individuals by the Corporate Headquarters Secretariat or each school established by the school, the school will use personal information and provide it to third parties for the following purposes:

  1. Personal information of those receiving the educational and research activities and services provided by the school, as well as their guardians, etc., will be used to achieve the purpose of the services, improve the services, collaborate to provide and improve services within the school (between the corporate headquarters office and each school), and provide guidance and information from the school.
  2. Personal information relating to the learning status and results of students receiving educational activities at the school may be provided to their guardians, etc.
  3. The names, contact details, and other information of students receiving educational activities at the school and their guardians may be provided to the parent-teacher associations of each school for the purposes of those activities. However, as a general rule, this will be suspended if requested by the student or their guardian.
  4. The names and contact information of those who have received educational activities from the school may be provided to the alumni associations of each school and the alumni management organization of the school for the purposes of their activities. However, as a general rule, this will be suspended if requested by the individual.

6. Complaints regarding the handling of personal information

Complaints regarding the handling of personal information will be handled appropriately and promptly by the Corporate Headquarters Secretariat.
